A short brief is better than a vague enquiry

What makes an RFQ answerable

For a stronger RFQ, include product form, cut, grade, packing, annual or trial quantity, destination country or port, preferred Incoterm, required certificates, shipment window, buyer questionnaire notes, sample expectations, and offer deadline. That is also the minimum set that lets two offers be compared against each other rather than read side by side.

  • Product — name, form, cut or grade, and any caliber band. Grade names are not interchangeable between suppliers; write the band in millimetres or centimetres as well as the grade name.
  • Packing — retail or foodservice, pack weight, carton, pallet configuration, and label requirements.
  • Destination — the country, not the region. Requirements differ between member states and between Gulf states.
  • Documents — the certificates and reports your side needs at entry, and who they must be issued by.
  • Timing — shipment window and offer deadline, with the harvest season in mind.
